What you need

What do you need for a softphone in the browser?

A softphone in the browser with Kolio needs three things: a modern browser, a headset with a microphone and a SIP account with your telephony provider — the same one the agent already uses to answer calls (Phone). Nothing is installed: the softphone is a floating button in the corner of Kolio, visible to members with the “Softphone” permission. Audio travels over WebRTC, so it is encrypted between the browser and Kolio telephony; the SIP password Kolio generates for each account is stored encrypted (Security).

Facts from Kolio's setup: the SIP account and the Softphone section are on the Settings → Telephony page; the “Softphone (web phone)” permission is managed by the account owner.

The same number as the agent

Business softphone: how does your team call from the same number as the agent?

The business softphone in Kolio uses the same SIP account as the AI agent, so your team calls from the same number the agent answers for customers. The agent takes incoming calls 24/7 and, following your instructions, resolves them or hands them to your team as a task; your salesperson or technician then calls back from the browser — the customer sees the same number they called. Kolio creates the softphone credentials itself when you first switch it on; the username is shown in settings, the password never leaves the server.

One SIP account, one number

You enter the SIP account and number once (Phone). The agent answers on it, your team calls from it — no extra number, licence or phone system from Kolio.

The agent answers, your team calls back

An incoming call to your number is taken by the agent even at 10 pm. An inquiry that needs a decision from your sales team becomes a task (Inquiry capture) — the owner calls back with one click, no retyping the number.

Credentials created by Kolio

When you switch the softphone on, Kolio creates SIP credentials for your company and stores them securely; the password is encrypted in the database and never shown in the interface (Security). One toggle switches the softphone on or off.
Live call transcription

Live call transcription: why can you switch it off?

Live call transcription in Kolio Softphone turns your team's conversation with a customer into text during the call and saves it on the contact in the CRM when the call ends, next to the transcripts of calls the agent answered. Transcription is configurable: the toggle is under Settings → Telephony, Softphone section, and is on by default. You can switch it off for two reasons — legal and cost.

What the transcript gives you

The task owner writes no notes after the call: what the customer confirmed, what is still open and what was promised is in the transcript on the contact. The next team member who calls the customer reads the same thread in Conversations.

A change to the toggle takes effect from the next softphone registration — refresh the page after saving. When transcription is not available on the installation, the toggle is greyed out and the saved choice is kept.

Call from the contact, logged on the contact

Click-to-call from CRM: how does a call from a contact land back on the contact?

Click-to-call from CRM in Kolio means clicking the “Call” button next to a customer's conversation in the Conversations view, or typing their name into the softphone window — and the call runs in the browser, with no retyping of the number. When the call ends, Kolio logs it as a conversation with that number: direction (outgoing or incoming), duration, who on your team called, and the transcript if it was on. Because the call is filed under the contact with the same number, the agent's call at 10 pm and your salesperson's call-back at 8:15 am sit in the same thread. A fast call-back pays off: in a Harvard Business Review study of 1.25 million leads, companies that called the customer within an hour qualified the lead almost 7 times as often as those that waited even one more hour.

The “Call” button next to a conversation

Every customer phone conversation or chat in the Conversations view has a “Call” button: when the softphone is registered, the call runs in the browser; when it isn't, the computer's phone app opens. No retyping the number.

Finding the customer in the softphone window

Type a name, company or part of a number into the softphone field; Kolio suggests contacts from the CRM and a click on a match dials. Local and international forms of the same number (041… and +386 41…) match.

Logged on the contact in Conversations

A finished call is a conversation with direction, duration, the team member's name and the transcript — in the Conversations view next to the agent's calls, web chats and email with the same customer, even when the contact does not exist yet (a thread by number).

Setup

How do you switch on the business softphone in four steps?

You switch on the business softphone in Kolio yourself, with no technician: you already have the SIP account from setting up the agent; the rest is three toggles and a headset. It takes about ten minutes.

  1. 01

Enter the SIP account and number

Under Settings → Telephony enter your provider's SIP account and the number the agent answers on. If the agent already takes calls, this step is done.

  2. 02

    Switch on the Softphone section

On the same page, switch on the toggle in the Softphone section; Kolio creates SIP credentials for your company. This is also where you choose whether your team's calls are transcribed live.

  3. 03

    Grant the “Softphone” permission

Under Users, tick the “Softphone (web phone)” permission for the members who will be calling. The owner has every permission automatically.

  4. 04

    Headset, microphone, first call

The member opens Kolio and a phone button appears in the corner. On the first call the browser asks for microphone access; in the softphone window they pick the microphone and speaker and dial by clicking Call next to a customer's conversation.

FAQ

Frequently asked questions about the softphone in the browser

Does the Kolio softphone work in a mobile browser?

The Kolio softphone is part of the web app, so it opens in a mobile browser too, but it is built for everyday work in a desktop browser with a headset. Safari does not allow choosing a speaker — audio goes to the default device; Chrome, Edge and Firefox let you pick both the microphone and the speaker.

Do I need an extra licence from my carrier or from Kolio for the softphone?

The Kolio softphone is part of the Kolio subscription and is switched on with one toggle, with no extra licence. From your telephony provider you need the same SIP account the agent already uses; how many calls can run at once on that account is set by your provider.

Does the customer see the same number when your team calls and when the agent answers?

The customer sees the same number: the Kolio softphone calls through the same SIP account as the AI agent, so the company has one number for incoming calls answered by the agent and for call-backs from your team.

Are your team's softphone calls recorded?

Kolio does not record softphone calls as audio; with transcription on it saves a text transcript of the conversation on the contact, and with transcription off it saves only the direction, duration and the team member who called. The transcription toggle is under Settings → Telephony, Softphone section.

Who has to tell the customer that the call is being transcribed?

Informing the customer is your company's duty: on a softphone call two people are talking, so your team must tell the other party about the transcription themselves. While transcribing, Kolio shows the badge “Call is being transcribed” in the softphone window, which alerts the team member but does not replace informing the customer.

What happens to a call if the contact does not exist in the CRM yet?

Kolio still saves the call as a conversation with the dialled number, visible in the Conversations view as a thread by number. Once your team creates the contact or adds that number to it, calls with the same number appear on the contact.

Can I enter digits during a call, for example to choose an option in a phone menu?

The Kolio softphone has a dial pad for touch-tone (DTMF) input during a call, so your team can choose options in the phone menus of the companies it calls. Muting the microphone and hanging up are available as well.

Softphone in the browser — switch it on today.
