No missed calls from under the car
The call that comes while your hands are in the engine or a watch is under the loupe is answered by Kolio — and recorded with a transcript, so you know who called and why.
Kolio is a phone agent for garages, watchmakers, electronics and bike repair shops: it answers the phone while you work, books the drop-off itself in the Calendar, tells the customer from the work order whether the repair is done, and hands the repair-price question to your technician as a task in the CRM. It never guesses or promises a price.

With Kolio in the shop the phone no longer interrupts the work: routine calls — booking, "is it done yet?", opening hours — are handled during the job, and the technician calls back only where a fault or price needs assessing.
The call that comes while your hands are in the engine or a watch is under the loupe is answered by Kolio — and recorded with a transcript, so you know who called and why.
The customer books the inspection, service or pick-up in the same call; Kolio puts it in the calendar and sends a confirmation with a reminder.
"How much will it cost?" reaches the technician as a task with the vehicle or device details and the transcript — your team assesses and communicates the price.
Five calls that would otherwise interrupt the work; Kolio resolves them from the calendar and work orders and hands the technician just one — the price estimate.
A customer calls before opening for an appointment
Kolio checks free slots for a minor service and books Thursday at 8:00; the customer gets an email confirmation and your team sees the slot in the Calendar.
Call: "is my bike fixed yet?"
The agent finds the work order by name and says the bike is in progress and will be ready tomorrow after 3 pm; it records the pick-up.
Call: "how much would a screen replacement cost?"
Kolio records the device model, fault description and contact details and creates a task for the technician; it tells the customer the team will call back with an estimate by 4 pm.
A customer wants to move the pick-up
The agent moves the appointment to the first free day, updates the calendar and sends a new confirmation — without a call to the technician.
Email after hours: "when can I collect my watch?"
Kolio answers from the work order that the repair is done and collection is possible tomorrow from 9:00; the conversation is in Conversations in the morning.

If no date is in the order, do notguess — say the technician will call back and create a task.COLLECTIONDone → give the opening hours for collection and record the slot.PRICEGive list prices. Fault assessment and custom pricesalways go to the technician as a task.About 40% of appointments are booked outside office hours, between 5 pm and 9 am. In a repair shop that is when the phone has gone quiet — Kolio books the drop-off at 9 pm too.
Appointments in the Kolio Calendar, prices and opening hours from the knowledge base, repair status as a task for the technician — enough for most smaller shops.
Reads the work-order status (received, in progress, waiting for a part, done) and the expected date; tells the customer itself and records the pick-up in the calendar.
No fault assessment, no pricing, no changing the work-order status and no promising a date that is not in the system. Writing to the system is off by default.
The technician keeps the decisions that need a look at the vehicle or device: fault assessment, custom price, additional work during the service, a complaint about a repair. Kolio prepares them as tasks with the details and transcript — the table shows the line for typical calls to a repair shop.
| Customer call | Kolio does on its own | What the technician sees |
|---|---|---|
| I'd like a service / inspection appointment. | checks free slots per service, books, sends confirmation and reminder | appointment in the Calendar |
| Is my car / watch / phone done yet? | reads the work-order status and says when collection is possible | conversation with transcript in Conversations |
| How much would the repair cost? | gives the list price; no fault assessment, takes model, description and contact | task for a price estimate with transcript |
| Can I move my appointment? | moves it to the first free slot, updates calendar and confirmation | updated appointment |
| Do you service this brand / device? | answers from the knowledge base, offers an appointment if needed | — |
| The repair didn't work — complaint. | records what is wrong and takes contact details | task for the shop manager (complaint) |
| I need a courtesy car / an urgent repair. | gives the conditions from the knowledge base, records the request | task with the special request when the team must decide |
Kolio makes sense for a repair shop when the phone rings during the work and the questions are the same every day; less so when every call is a technical consultation.
Add services with durations to the Calendar (inspection 30 min, minor service 2 h, tyre change 45 min) and technicians; upload the price list, opening hours and the list of brands or devices you service to the knowledge base.
In plain sentences, set which list prices the agent may give, that fault assessment always goes to the technician, and how it reports repair status. Optionally connect your service system to read work orders.
In Settings → Telephony enter the SIP account of your provider — the number stays with your operator. Test the call "is my car done yet?" in the simulator, then call yourself.
Same Kolio, different instructions: e-commerce, furniture and delivery, clinics and salons, B2B and hospitality.
Kolio works in a repair shop without a service system too: it keeps drop-off appointments in its own Calendar, gives prices and opening hours from the knowledge base, and hands repair-status questions to the technician as a task with the customer's contact details. With a connected system it reports the work-order status itself.
Kolio does not call customers on its own; when a repair is done, your team can send an email notification from the CRM or call the customer from the Softphone. When the customer calls and asks whether it is done, Kolio answers from the work order and records the pick-up appointment.
The Kolio Phone agent gives only the list prices the shop has entered in its price list (for example the price of an inspection or a tyre change); it does not assess faults or quote custom prices. It records the model, fault description and contact details, creates a task for the technician and tells the customer by when the team will call back.
Kolio calculates free slots from the services in the Calendar: each service has a duration and technicians set by the shop, and the schedule respects working hours, breaks and blocked times. Overlaps are checked within the same service, so two lifts mean two simultaneous appointments.
Kolio works for every repair shop where a customer drops an item off for repair and comes to collect it: garages, watchmakers, phone and computer repair, bike shops, appliance repair. Only the instructions and price list written by the shop differ; booking, status and handing the price to the technician are the same.
You do not have to change the shop's number for Kolio: it stays with your operator and Kolio connects to it through the SIP account you enter in Settings → Telephony. Zadarma and Twilio are preconfigured; other providers connect through the generic setting.
Enter your services and price list, connect your number and test the call "is my car done yet?" in 15 minutes.
